Our Virtual Assistants
Most of our Virtual Assistants are based in the Philippines, with some team members from countries like Singapore and other parts of Southeast Asia. We love working with talent from these regions because they share time zones close to where many of our clients are based, making collaboration smooth and seamless.
We offer flexible options to suit your needs. Our full-time Virtual Assistants work 40 hours a week, while part-time VAs work 20 hours. Not sure which one is right for you? Avery Outsourcing is the employer of your Virtual Assistant, but they work exclusively on your tasks. This means you get all the benefits of having a dedicated team member without the administrative headaches. We handle everything from HR and payroll to managing any disruptions or finding a replacement if needed.
Absolutely! We make sure all our Virtual Assistants are fluent in English, so you’ll have no trouble communicating clearly and getting your ideas across. Clear communication is key to success, and we ensure you won’t face any barriers.
Costs, Billing, and Payments
The cost depends on the type of Virtual Assistant you need—whether you’re looking for an Admin, Sales or Marketing VA. It also varies based on the package you choose: our Pro Package, Master Package, and Elite Package offers 40,80, 160 hours of support per month. To get a clear idea of pricing tailored to your needs, we’ll discuss everything during your FREE Discovery Call with our Outsourcing Specialist.
Once you decide to work with Avery Outsourcing, we’ll ask for a deposit to get things started. Don’t worry, we’ll guide you through the whole process, including sending you the payment form. After the deposit is made, we begin recruiting your ideal Virtual Assistant.
Once you’ve selected your VA, we’ll work with you to set up a convenient weekly payment schedule during the onboarding process. Payments can be made through Stripe, credit card, or direct bank transfer. From there, everything is automated—your payments will be debited weekly on the agreed-upon day, so you can focus on your business without any payment worries.
If you find you need additional hours from your Virtual Assistant, no problem! Their hourly rate will be based on your current monthly fee. If you need them to work beyond their regular hours, we offer overtime options (see below).
To ensure fair compensation, overtime rates are as follows:
- General Virtual Assistants: $16 AUD per hour + GST
- Technical Virtual Assistants: $30 AUD per hour + GST
We allow you to roll over up to 25% of your unused hours, which will remain valid for the following two months.
Working with Your VA
Yes, we ask for a minimum 3-month commitment when you hire a Virtual Assistant. This is similar to a probation period you’d find in many workplaces. It allows enough time for onboarding and training, ensuring that your VA gets fully integrated into your company. If things aren’t working out, don’t worry—we’ll help you find a more suitable Virtual Assistant based on your feedback.
During the first three months, our Virtual Operations Manager (VOM) will closely oversee your relationship with your VA, offering ongoing support to ensure everything runs smoothly. After that period, our Operations Manager and Customer Support Team remain available to assist with any concerns or adjustments you might need.
Your VA will provide you with a daily report summarizing their completed tasks and any challenges they faced. We encourage you to focus on results and outcomes rather than using time-tracking tools—unless you prefer otherwise. It’s all about building trust and seeing the value in their work.
If your Virtual Assistant becomes sick during a crucial project, you can request a temporary replacement to step in and cover the work. Alternatively, your VA can make up for the missed time on another day, depending on your preference.
After working with you for at least 3 months, your VA is entitled to 10 days of paid annual leave. They’ll notify you at least one week in advance to coordinate schedules. For unpaid leave, they’ll propose a plan to ensure their work is completed before the leave starts.
It’s your call whether to give your VA time off for Australian public holidays like Easter or Christmas. Similarly, for their local public holidays, it’s up to you whether they take the day off. Your VA will follow the agreed-upon leave policy for paid or unpaid leave requests.
If there’s a work disruption like a power outage, internet issues, or a family emergency, your VA will notify both you and our management team right away. If the task is urgent, we’ll provide a temporary replacement to ensure your work continues uninterrupted.
For part-time VAs, you don’t need to pay for a lunch break. For full-time VAs, a one-hour lunch break is included within their 8-hour workday, allowing them to stay refreshed and productive throughout the day.
We prioritize the security of your confidential information. All of our virtual assistants sign a confidentiality agreement to ensure your business data is protected. We recommend using secure tools, such as password managers, to safely share login credentials. For businesses handling highly sensitive information, we can provide guidance on additional security measures to enhance data protection. Trust is built over time, so we suggest limiting access to sensitive data until a strong working relationship is established.
